Behind the Build: How Popshap Packs Event Technology for Trade Shows

The technology attendees see on the show floor is only the final stage of the process.

Before an LED display, digital poster, or touchscreen kiosk reaches an event, it must be prepared, protected, packed, and transported. In the first installment of Popshap’s Behind the Build Series, we are taking you inside the backroom to show how our event technology gets ready for the road.

Protecting Event Technology with Custom Road Cases

Event technology is designed to create an impact, but it also needs the right protection while traveling between warehouses, venues, and trade shows.

Popshap uses durable road cases to help protect LED displays, kiosks, and supporting equipment during transportation. These cases feature reinforced edges, secure locking hardware, built-in handles, and wheels that make heavy equipment easier to move during loading, installation, and removal.

Many cases are designed around the dimensions of the equipment inside. This helps limit movement during transportation while protecting screens, hardware, and other components from the demands of event shipping and material handling.

Adding Another Layer of Protection

The packing process does not always stop once the equipment is placed inside its road case.

As shown behind the scenes, cases may also be stretch-wrapped to provide an additional protective layer before transportation. Equipment can then be placed on a pallet when needed, making it easier to organize, stage, and move during the shipping process.

Labels help the team identify the contents, event destination, and booth information associated with each case. This organization is especially important when several products are being prepared for the same show.

Loading Equipment for Transportation

Once each case is prepared, the equipment is carefully loaded for transportation.

Road cases are arranged inside the truck to use the available space efficiently while keeping the shipment organized. Straps help secure the cases and reduce movement while the equipment is in transit.

This step requires planning. Case size, weight, placement, unloading order, and the needs of the installation team must all be considered before the truck leaves the warehouse.

The goal is to ensure the equipment arrives safely, on time, and ready for the next stage of the project.

Trade Show Logistics Beyond Delivery

Packing is one part of a larger event logistics process.

Before installation day, Popshap’s team prepares and tests the event technology to confirm that the hardware and content are ready. Depending on the project, our services can also include delivery, setup, secure mounting, technical support, teardown, removal, and return transportation.

This complete approach gives exhibitors, event organizers, and show management teams one less area to coordinate as they prepare for an event.
